Job Description

We are looking for a dedicated and detail-oriented individual to take on the role of Bookkeeper and Office Manager. This position combines financial management with office operations, making it a perfect fit for someone who excels in both areas. Key Responsibilities:

Process and confirm invoices daily; track aging accounts and send monthly statements.
Handle credits and basic accounting tasks such as journal entries.
Manage Accounts Payable and Receivable using QuickBooks Enterprise.
Initiate and receive ACH and wire transfers through the bank portal.
Reconcile credit card and bank statements accurately and promptly.
Track and enter inventory data for valuation purposes.
Manage human resources tasks, including payroll processing and PTO management with Paychex, and assist with updating the Employee Handbook.
Compile financial reports and data for monthly and annual financials.
Collaborate with an external accounting firm for tax forms, reporting, and payments.
Order and manage office and warehouse supplies to ensure smooth operations.
Review purchase order details in the inventory management system, including receiving reconciliations.
Assist in coordinating special events when needed.
Provide support to the leadership team as required.
Update product costing using Excel every 6 months.
Complete end-of-month reporting and close the books.
Maintain an organized file system on Google Drive.
Contribute to a positive and efficient work environment within a small office and warehouse setting.

Skills and Qualifications:

Proficiency in QuickBooks Enterprise for financial tasks.
Previous experience in bookkeeping or office management.
Basic understanding of accounting principles and practices.
Strong Excel skills, particularly in database updates.
Exceptional organizational skills with a keen eye for detail.
Strong time management and multitasking abilities.
Ability to maintain confidentiality and handle sensitive information with care.
Excellent interpersonal and communication skills.
Experience with payroll and PTO management is a plus.
